VOLUNTEER SCREENING AND TRAINING

Dear FSGP Volunteer,

We are fortunate to host our annual Flute Fair and other events at West Chester University. Our contracts with the university require all adults who have direct programmatic interaction with minors during these events to have satisfactorily completed the following screenings within the past five years:

  • Federal Criminal History Record Information Check

  • Pennsylvania State Criminal History Record Check (Act 34)

  • PA Department of Public Welfare Child Abuse History Clearance Check (Act 151)

All board members, Flute Fair volunteers, presenters, and clinicians are asked to follow the steps below to complete the required screening process. All screening fees will be covered by FSGP.

Volunteers must also complete West Chester University’s required training and read and sign the Authorized Adults or Program Staff Code of Conduct.

Screening and Training Instructions

1. Federal and Pennsylvania State Background Checks

These checks will be processed through FSGP’s volunteer portal with IntelliCorp/Cisive. Fees will be billed directly to the Flute Society.

Once your Flute Fair proposal has been accepted, you will receive an email invitation to complete the screening application:

The application takes just a few minutes to complete.

2. Pennsylvania Child Abuse History Clearance

This clearance is available at no charge to volunteers every five years. If fewer than 57 months have passed since your previous clearance, a $13 fee applies and will be covered by FSGP.

Once your Flute Fair proposal has been accepted, you will be contacted to determine whether you need a free or prepaid voucher. After receiving your voucher code, follow these application instructions to create an account with the PA Child Welfare Portal and submit your application.

3. West Chester University Volunteer Training

All volunteers must complete the required WCU training module. Instructions will be posted here when available.

4. Code of Conduct

Please read and sign the Authorized Adults or Program Staff Code of Conduct, available at the bottom of this page.

Completion Deadlines

For the 2027 Flute Fair:

  • December 31, 2026: Submit all required background check applications.

  • January 15, 2027: Complete the online training and submit the signed Code of Conduct.

All required clearances must be received before you are eligible to participate as an FSGP volunteer or presenter.

For other events at West Chester University that may include minors, all screening, clearance, training, and Code of Conduct requirements must be completed at least 45 days before the event.
